Changes to our Invoicing Process and Cancellation Policy- October 2021

School Space's mission has always been to create thriving schools at the centre of thriving communities. We do this by partnering with schools to generate much needed income for education.

As we move into the next academic year, our popular spaces are in high demand and we are finding that cancellations and changes to bookings are causing other groups to miss out on making the most of the spaces at our schools. With this in mind, we are changing our booking policy which we are hopeful will make the whole process more straightforward for all.

How will invoicing change?

Currently, our invoices are sent out on the 1st of the month to include all bookings within that calendar month. These are to be paid by the end of each month.

With the new system, we will instead be sending out invoices on the 15th of each month to be paid by the 1st of the following month, to include all bookings in the upcoming month.

For example:

All bookings for November will be included in your November invoice.

Issue date: 15th October 2021

Payment Due: 1st of November 2021

What does this mean for you?

We hope that this change will allow more time for customers to make arrangements for the upcoming month and process any necessary changes before making payment on the 1st of the month. We also foresee this saving any confusion in receiving multiple invoices due to changes made.

We advise all changes for the upcoming calendar month to be made before the 1st of the month as no money will be refunded once payment has been made. We can extend or add additional bookings after this time, but we cannot reduce your hours or amount of bookings.

The original price paid will remain the same, even if:

  • You move to an alternative cheaper space
  • You reduce the timings of your booking
  • You need to cancel your booking

The only exception being if a change of space or cancellationon is made by School Space. We will never make a cancellation without exhausting all options to enable the booking to go ahead, and it is never something we do lightly but if unavoidable circumstances do occur, we would never charge you for spaces you didn’t use and would refund the amount of the affected session within 10 working days.

Should you wish to add an additional space to your bookings after the 1st of the month, you will be invoiced accordingly for the additional charge.

 

Why?

This change means we can ensure the school receives the maximum benefit from letting out their spaces, and allows us to ensure that our site staff are paid fairly for any last-minute changes to their schedules.
