Any other queries about my booking?

For any queries about your booking please email us at info@school-space.org. Office hours are 09:00-17:00 Monday-Friday and response times are generally within 48 hours.

Can I bring in extras to run my event such as a Bouncy Castle or Soft Play?

As long as they don’t contradict our T&Cs, damage anything, and are PAT tested!

Can I have extra time for my set up and clear up?

Absolutely, just let us know and we will book it in for you if available. Then our friendly staff member can unlock the space at the right time for you to do so.

Can we leave the hall at any point during our booking?

The venue should not be left open and unattended at any time during your booking. Therefore, if you do need to leave the venue a responsible adult affiliated to your booking must be present to take responsibility for the site. If you wish to leave the venue before the agreed time, please ensure you have shut doors and windows securely behind you, and let a School Space staff member know by calling them. Please do not leave the venue open and unattended at any time.

Do I need to do any cleaning? What if I have paid a cleaning charge?

It is important that school buildings are treated well and that the premises are left in an acceptable state for children to learn in. The venues should always be left in the state that they were found with all large bits of rubbish removed, including rubbish bags, furniture returned to its original place, floor vacuumed or swept and clean and tidy. Failure to do so may result in loss of deposit even if a cleaning charge has been paid. There is an optional cleaning charge of £80 for all bookings unless your booking finishes after 18:00 on a holiday or weekend in which case it is compulsory. This covers light cleaning and is designed to ready the site for lessons, all bookings should undertake the tasks outlined above before leaving the venue.

Do you offer technical support?

Unfortunately we do not offer technical support, however, we do have an on-duty staff member should you need to contact somebody during your booking.

How do I get in touch if something is wrong?

If you have any problems during your booking you can call the on-duty manager on 0800 311 8445 (Oxfordshire or Berkshire) and 0800 311 8322 (London).

What happens if I need to leave early?

If you wish to leave the venue before the agreed time, please ensure you have shut doors and windows securely behind you, and let a School Space staff member know by calling them. Please do not leave the venue open and unattended at any time.

When and how do I pay?

We ask for a deposit to confirm your booking (usually £50), and then you will be sent an invoice to pay you hold your event. For block bookings, we invoice monthly so you can collect your membership fees without the worry of paying it all up front.

When do I receive the keys?

We don’t ever give customers school keys – it leads to a lot of issues when it comes to site security and insurance. However, we will always have a dedicated Community Connector to meet and greet you and lock up after your event

Will I be able to get hold of someone during my booking?

Absolutely! We have a member of staff on call at all times. If you are in Oxfordshire or Berkshire, call our on-call team on 0800 311 8445 and if you’re in London , call our on-call team on 0800 311 8322.

Please note that we don’t provide staff for services such as technical support or stewarding.

Will I have access to school equipment?

Please let us know what you require and we will let you know if it’s possible and arrange it for you.

Will someone meet me on site?

We have an incredibly dedicated team of Community Connectors (CC’s) who will meet you at the start of your event. Our CC’s are committed to helping you have the best experience possible; arriving at the venue at your start time to unlock, providing you with the on-call number and assisting with your queries and returning at your end time to lock the venue and secure the site. Our CC’s all come from the local community and are as passionate about building links as we are!

Will you set the equipment/hall/chairs for me?

Unfortunately School Space don’t provide set up for our customers. We rent the blank space for you to make completely your own (just please leave it as you found for school the next day!)

How do you ensure safeguarding standards are upheld?

Our own staff hold enhanced DBS checks and have safeguarding training. We also work with you to design a safe site plan so that your school is secure after hours. When it comes to customers we have approved our levels of checks on customers with the local safeguarding children board.

How do you handle the income? How do I know what’s being paid is correct?

We invoice and collect all payments from customers, and then provide a full audit trail for you along with your monthly bill so that you can see the breakdown of your income.

How do you make sure customers respect our facilities?

Not only do our members of staff check each facility before and after use by customers, we also ensure customers sign our Terms and Conditions before using school facilities. We can supply you with a full list of these so that you can be sure on what terms we are hiring your facilities

How much does it cost to work with School Space

Nothing! We work with your school on a revenue share basis, which means we only split the income from your facilities. We cover all of our costs in our cut – you only need to worry about utilities.

How much is the revenue split? What if I end up losing money?

You will never lose money from working with us. Quite apart from the fact that all of our schools have seen a net income increase working with us, we will also guarantee in our contracts that you will keep your previous income from lettings. If we can’t make you more money, we won’t offer to partner with you. The revenue split depends on how much your facilities can generate, so we assess this after we’ve seen them.

What about exams and parents evenings after hours?

School use always comes first. You just inform us, and we will cancel lettings. We ask for a nominated member of staff within your school to communicate with, and it’s their job to let us know. We ensure cancellations are handled carefully with customers and there are no more clashes!

What about insurance?

We are covered for all our activities on site. You, as a school, should have insurance for external users already (if not you will need to inform your insurers). We also ensure customers have the appropriate level of public liability cover
